OPERATIONS MANAGER-

Yogi Pops Dairy Products Limited is a popsicle manufacturing company situated in Lusaka, Zambia. The company is involved in the production, processing, distribution and retailing of frozen yoghurt popsicles using all-natural ingredients sourced from the Zambian market.

JOB TITLE : OPERATIONS MANAGER

REPORTS TO : CHIEF EXECUTIVE OFFICER (CEO)

LOCATION : LUSAKA

POSITION SUMMARY :

The Operations Manager will be responsible for day-to-day operations of the factory, providing operational support, assisting in the creation and maintenance of the company’s policies and procedures, and developing operational budgets in collaboration with the Chief Executive Officer and Director of Administration. By exercising good stewardship over the factory’s operational functions and resources, the Operations Manager will ensure organizational effectiveness and efficiency. Collaborating with senior management to implement Standard Operating Procedures and practices within the business.

MAJOR ACCOUNTABILITIES :

Office Management and Administration

To develop, implement, manage, and maintain record keeping, confidential personnel files, and inventory control systems.

To ensure that all health and safety laws are maintained at the factory and office and that firm property is suitably covered by general insurance.

To prepare, respond to and file correspondence on behalf of the office operations.

To establish and maintain an inventory of office and factory supplies and equipment.

To design, organize and maintain specialized and custom forms, records, reports; files and logs to support both administrative and production processes.

To monitor office supply needs and utility consumption, ensuring the office has all the necessities in plan all time.

Taking lead with support from the Chief Executive Officer and Director of Administration in sourcing factory supplies and equipment.

To supervise the manufacturing, processing, sale and distribution of the frozen yoghurt popsicles.

To assist the Director of Administration and Finance in implementing all new operational changes.

Contracts Management

To keep a contract tracker in order to make sure that contractual obligations are fulfilled, such as timely renewal and evaluations.

To confirm that all contracts are in compliance with the needs of the business and standard operating procedures with the CEO and Director of Administration.

To ensure that policies, procedures, regulations, and requirements are always met.

To support the CEO and Director of Administration in the development of all necessary Office specific operation policies such as those pertaining to Inventory Management, Utilities usage, etc.,

Fleet Management

To supervise the Yogi Pops distributors and ensure that stores are actively engaged.

To keep the senior management team updated on all distributions and supplies while supervising the logistical demands and acting proactively to meet needs.

To assist with approvals, maintenance, procurement, inventory, and other administrative activities.

Communication

To generate management information such as for retail stores, personnel contact information, and other communication monitoring systems.

To coordinate and improve communication between support departments, as well as to manage, monitor, and iincrease the effectiveness of operational support services.

To perform and additional tasks that are assigned.

QUALIFICATIONS AND EXPERIENCE

A full grade 12 certificate

A minimum of a Bachelor’s degree in Business Administration or equivalent qualification.

A minimum of 2 years’ experience in a similar position.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

Computer literate preferably Microsoft Word, Excel, Outlook and Power Point;

Good interpersonal and team building skills;

Excellent analytical and problem-solving skills;

Effective writing, verbal and listening communication skills;

Attention to detail and high level of accuracy;

Very effective organization and time management skills;

Be flexible, honest and trustworthy and with sound work ethics;

Ability to maintain a high level of accuracy confidentiality concerning organization files;
